Stallholder Marshalling & Event Access
Getting approximately 250 stallholders into position safely and on time takes a bit of coordination! To help make event morning run smoothly, we have a marshalling process in place to manage vehicle arrivals and get everyone to their allocated stall location.
The event area is long and relatively narrow, with just four main entry points: Main Road/Oxford Street, Main Road/Surrey Street, Pink Pineapple Corner and Cambridge Street/Oxford Street. This unique layout means we need to carefully manage the flow of vehicles during pack-in to keep everyone moving safely and avoid congestion.
Please pay close attention to your Area Manager and the volunteers in your area. They will guide you into position and may direct you to leave via a different exit, such as Lyndhurst Road or Lincoln Avenue, to help keep vehicles flowing throughout the event site.
Please read this information carefully before arriving and follow the instructions of our marshalling team on the day. A little preparation goes a long way towards getting everyone safely into position and ready for a fantastic event!
How marshalling works
Every stallholder will be given a site number, an allocated arrival time and marshalling location. Your arrival time is the time you need to arrive at your assigned marshalling point, not necessarily the time you will enter the event.
When you arrive, present your gate pass or site number and our marshals will issue you with an entry ticket. Follow their instructions and wait form them to tell you when you can proceed to your allocated stall location. If you have not collected your entry ticket, your vehicle will not be permitted into the road closure area.
We will be moving stallholders through in a carefully managed sequence to help keep traffic flowing and avoid congestion.
Your event-day process
Check your event information email and/or StallHub: This will confirm your site number, assigned marshalling location and arrival time. Please make sure you know your site number and where you need to go before setting off.
Arrive at the correct marshalling point: Please make sure you are at the location specified in your instructions by your allocated time. Arrival times are carefully planned to help keep vehicles moving through the event area. We cannot accommodate early or late arrivals.
Check in with our marshals: Collect your entry ticket and follow their directions and remain in the designated area until you are instructed to proceed. Our volunteers will be there to help guide you through the process.
Enter the event when directed: Stallholders will be moved through in small groups as part of our planned traffic management process. The time available for vehicles to enter and exit the event area is tight, so please be ready to move when directed. Ensure your entry pass is clearly visible to the traffic management team.
Unload quickly: Once you reach your allocated site, please unload your vehicle promptly so it can be moved out of the event area. The pack-in window is tight. Volunteers will be available to help unload.
Move your vehicle before setting up your stall: Follow the directions provided by the marshalling team. You may be directed to leave via a different exit from the one you entered through, so please pay attention to your Area Manager and volunteers and follow their instructions. Volunteers will be available to keep an eye on your belongings while you move your vehicle to nearby side streets for parking. No parking in New World car park or Tawa Station.
A little preparation makes a big difference! Please unload efficiently, move your vehicle promptly and help keep the event area flowing for everyone.
Marshalling locations
We have different marshalling locations depending on your stall type and allocated position.
Tawa Park n Ride: The main marshalling location for most stallholders who are not food trucks. Check in with the marshal at the bottom of the stairs leading to the overbridge to collect your entry ticket before taking your place in the queue.
Redwood Train Station: A designated marshalling location for approximately 15 food trucks (Cambridge Street food trucks, numbered in the 300's range).
New World Car Park: A designated marshalling location for approximately 8 food trucks (Essex Street food trucks, numbered in the 500's range).

Important arrival rules
Please arrive at your allocated time. We have a very tight pack-in schedule and cannot accommodate early or late arrivals.
Have your StallHub gate pass handy or know your what your Stall Name and Site Number are
Do not go directly to your stall site unless you have been specifically instructed to do so.
Follow the directions of our marshals at all times.
Please be patient while other stallholders are being directed through.
